Hosting A Drive
Scheduling is Crucial
It's All in the Timing. Much of your blood drive's success will depend on the timetable you establish for the drive itself and the individual donors. These guidelines should help.



Scheduling the Drive
  • 3-4 weeks ahead - Hold recruitment meetings and begin your promotion.

  • 1-4 weeks ahead - Begin recruiting, signing up and scheduling donors. Pre-printed appointment cards are available for your use. Ask your FBS Territory Manager.

  • 1 week ahead - Give your FBS Territory Manager a count of scheduled donors and continue recruitment of others.

  • 1-3 days ahead - Remind all donors of the appointments and confirm your donor count with the FBS Territory Manager.

  • The day before - Check on the site and equipment.

  • Blood drive day - Meet the mobile unit. Call donors who fail to make their scheduled appointments.

  • Follow-up - Recognize donors, survey their opinions and hold a review with your FBS Territory Manager. Begin planning the next drive. Click here for more follow-up info.


Scheduling Donors
Consider the following benefits of scheduling your blood donors:
  • Saves the amount of time employees are away from work

  • Saves time for donors

  • Allows the blood center to plan adequate mobile staffing

  • Permits optimum follow-up care of donors

  • Reduces the number of "no-shows"

  • Gives the company the opportunity to increase donor turn-out

  • Increases the overall efficiency of the blood drive


Helpful Hints for Scheduling Donors
  • Make sure each donor is aware that it takes approximately 45 minutes from registration to the end of the donation process.

  • Sign up all donors on the scheduling sheet your FBS Territory Manager will give you. (You'll give this sheet to the bloodmobile supervisor the day of the drive.) Remember to keep a copy for yourself and others who will be assisting you.

  • Emphasize the importance of every donor being on time.

  • If possible, plan to be present at the drive.

  • Your FBS Territory Manager may ask that you schedule a lunch break for the bloodmobile staff (this should be reflected on the schedule when it is provided for you.)
